Connect Microsoft 365 email
Connect a licensed Microsoft 365 user mailbox, select your Bow Chat team, and verify incoming mail and replies.
Connect a licensed Microsoft 365 user mailbox to a Bow Chat email inbox, then give Bow Chat teammates access to that inbox. Your Microsoft administrator must allow the application and the mailbox protocols before you connect.
Choose the right mailbox
| Mailbox | Route |
|---|---|
| Licensed Microsoft 365 user mailbox | Follow this guide and the administrator checklist. The subscription must include an active Exchange Online mailbox; an Office apps subscription alone is insufficient. |
| Exchange shared mailbox, such as support@example.com accessed through delegates | Read Shared Microsoft 365 mailboxes. The current connector cannot select a separate shared mailbox. |
| Personal Outlook.com account | Use the Outlook sign-in option with that personal account. Microsoft 365 tenant-admin steps do not apply. |
Several people working in one Bow Chat inbox does not make the Microsoft mailbox an Exchange shared mailbox.
Connect the mailbox
- Have your Microsoft administrator complete the checklist.
- As a Bow Chat workspace administrator, open Settings → Inboxes → Add inbox → Email → Outlook and select Sign in with Microsoft.
- Sign in as the user whose mailbox you intend to import. Do not select an administrator account or a delegate's personal mailbox as a substitute.
- Review Bow Chat Outlook's requested access: read and manage mail through IMAP, send mail, basic sign-in information, and continued access for token renewal. Approve only the intended mailbox connection.
- Finish inbox setup and select the Bow Chat teammates who should handle its conversations. Mail starts importing into the workspace; choose those teammates deliberately.
Keep your Microsoft password and verification codes in Microsoft's sign-in flow. Do not send them to Bow Chat support or enter an app password into this OAuth connection.
Confirm it works
Send one message from another address to the mailbox. Confirm it appears in the correct Bow Chat inbox, reply there, and verify receipt at the other address. Repeat a receive/reply check after the connection has renewed access. Tenant policy can permit sign-in while blocking mail protocols, so a completed sign-in alone is insufficient.
If Microsoft requests administrator approval, send your administrator the checklist. If Bow Chat requests reconnection, reopen the existing inbox's Microsoft reconnect prompt and select the same mailbox; avoid creating another inbox to repair it. If the address or mailbox type is wrong, stop before importing more mail.
Removing access
Ask the Microsoft administrator to revoke the application's authorization and the Bow Chat administrator to stop the inbox connection. These are separate controls. Disconnecting a mailbox does not mean its conversation history has been deleted.
